Ten minutes with a teacher, and a whole year to talk about. EduSuite PTM is parent teacher meeting software that runs the entire PTM day — mobile slot booking, one-tap check-in, a live queue, the child’s full profile in front of every teacher, and one combined summary on the parent’s phone.
Every school knows the PTM-day picture: a corridor full of parents, nobody sure which teacher is in which room, a class teacher flipping through registers to answer “How is her attendance?”, and parents who leave without meeting half the subject teachers. Whatever was said is gone by the next morning.
Parent teacher meeting software organises the whole day. Parents book a time slot before they arrive, check in when they reach the gate, and are guided to the right teacher in the right room. Teachers see each child’s attendance, fees, exams, homework and conduct on one screen, and every subject teacher’s feedback ends up in one summary the family keeps.
EduSuite PTM is a complete PTM management system built into the EduSuite school ERP. It uses the students, classes, teachers and rooms your school already has, so a PTM can be set up in minutes and run without paper lists.
The school creates the PTM — for example, “Mid-term PTM, Monday 5 October, 09:00–13:00, 10-minute slots, all teachers”. EduSuite builds the PTM schedule from your existing classes and teachers, and families with a child in those classes can book.
Parents open the app and book a PTM slot that suits them. A family with two or three children gets one visit plan covering every child and every teacher they need to see, so siblings in different grades don’t mean three separate trips. The office sees, at a glance, which families haven’t booked yet and can call or notify them before the day.
Teachers prepare too. Each child already has talking points — strengths to share, an open concern such as Maths scores dropping, missed homework — so the ten minutes are spent on what matters, not on looking things up.
Date, time window, slot length and teachers — using classes you already have.
Parents choose their own time; siblings share one family visit plan.
Strengths, concerns and goals prepared for each child before the meeting.
On the day, the parent taps once at the gate to mark themselves On campus. Their phone then tells them exactly where to go — “Room 12, Middle block” — and which teacher they will meet first. No help desk queue, no printed room lists taped to the wall.
Each teacher works from a live queue. The screen shows who is with you now, who is next waiting, and how many families have been seen. Tap Call in to bring in the next family, Done & next to move on, and the parent’s phone gets “Your turn is next — please come in”. Every family moves through a clear status: not arrived, on campus, at the room, with teacher, done.
The queue also shows if the PTM is running on time. Running late? Notify everyone waiting in one tap. A family didn’t turn up? Mark the no-show and call or WhatsApp them from the same screen, and record the outcome — reached, no answer, switched off or wrong number.
Parents mark arrival and get room and teacher directions on their phone.
Teachers call the next family and notify them with a single tap.
See if the PTM is running late and message everyone still waiting.
“How is her Maths? Is she coming every day? How is she with her friends?” When the family sits down, the teacher opens the child’s page and the answers are already there: attendance, fees, exam results, homework, conduct records, rewards and house points, past meetings and documents. Anything that needs attention — an open concern, a conduct alert — is flagged at the top.
The PTM progress bar shows the class teacher and every subject teacher for the child, each with a room and a live status. When a subject is covered, the teacher marks it Discussed and adds a short note for the summary — “Strong essays; keep reading daily.” If a subject teacher is on leave, the class teacher covers that subject or reassigns it to a substitute in one click, so no subject is left out.
Talking points are ticked off as they are covered. If something new comes up, the teacher logs a concern or incident right there, and it is tracked after the PTM ends. This is a parent teacher meeting app built for the conversation itself, not just for booking it.
Attendance, fees, exams, homework and conduct on one page.
Discussed, covered by the class teacher, or reassigned to a substitute.
Log new issues during the PTM so they are followed up afterwards.
As soon as the last subject is discussed, EduSuite sends the parent a single PTM summary: each teacher’s note, subject by subject, in one place. “Settled and confident; reads well.” “Weekly practice test agreed.” “Handwriting improving.” The father who couldn’t come hears the same message as the mother who did, and nobody has to remember what each teacher said.
For the school, that summary replaces the paper PTM feedback form. Notes are saved against the child’s record and are there for the next PTM, the next report card, or the next time a concern is raised.
While the PTM runs, the principal and coordinators watch live progress: families seen, families waiting, families who haven’t arrived, no-shows and children with alerts, filtered by class or teacher. They can see straight away if one room is falling behind and send help before parents start to queue.
EduSuite PTM covers the whole parent teacher meeting day — before, during and after — for parents, teachers and management.
Date, time window, slot length and teachers, built from your existing classes.
Parents book their own time; siblings share one family visit plan.
Parents mark “On campus” and get room and teacher directions.
With you now, next waiting, call in, and done & next for every teacher.
Attendance, fees, exams, homework, conduct and rewards on one page.
Prepared points per child, ticked off during the meeting.
Class teacher covers a subject, or reassign it to a substitute in one click.
Every teacher’s note sent to the parent as one summary.
Seen, waiting, no-shows and alerts by class and teacher, in real time.
Generic booking tools can give a parent a time slot, but they can’t tell the teacher how the child is doing. EduSuite PTM sits on the same database as the student management system and the academic records, so the families, siblings, subject teachers, rooms, marks and conduct history are already there.
Between PTM days, the conversation continues in EduSuite Meetings: if something at the PTM needs a longer talk, the teacher books a follow-up meeting with the family, with the concern already on the agenda. Everything sits on the child’s record, in one school ERP with one login.

Parent teacher meeting software organises a school’s PTM day: slot booking, parent check-in, the queue for each teacher, the student information teachers need, and feedback to parents afterwards. EduSuite PTM does all of this on web and mobile, connected to your student records.
Yes. Parents open the EduSuite app, see the available slots and book the time that suits them. Families with more than one child get one visit plan that covers every child and teacher.
When the parent reaches school, they tap once to mark themselves “On campus”. Their phone then shows which teacher to meet and the room and block, and they are notified when it is their turn.
The child’s full profile — attendance, fees, exam results, homework, conduct, rewards and past meetings — plus talking points, alerts, and the PTM progress for every subject teacher.
The class teacher can cover that subject, or reassign it to a substitute teacher in one click. The subject is still marked as covered and appears in the parent’s summary.
When every subject has been discussed, EduSuite sends a combined PTM summary to the parent’s phone with each teacher’s note, subject by subject. It replaces the paper PTM feedback form and stays on the child’s record.
Yes. Management sees live progress by class and teacher — families seen, waiting, not arrived, no-shows and children with alerts — and can notify waiting families if the PTM is running late.
The PTM module runs the school-wide parent teacher meeting day. EduSuite Meetings handles one-to-one and group meetings throughout the year — parent requests, office hours, called-in meetings and staff meetings. Both are part of the same school ERP.
