Parents request a meeting from their phone, teachers reply in one click, and every meeting ends with a summary the family signs off. EduSuite Meetings is a school meeting management system for the conversations that happen all year — parent requests, office hours, called-in meetings, student meetings and staff meetings, in person, by phone or online.
In most schools, a meeting still starts with a line in the diary — “Father, please visit the school” — that may or may not reach home. The parent arrives while the teacher is in class, the conversation happens in a corridor, and whatever was agreed is forgotten by the following week. Later, nobody can say who met whom, about what, or what was promised.
A school meeting management system replaces that with one place for every one-to-one and group meeting a school holds. Requests, invitations, available times, agendas, reminders, notes and follow-ups live in one place, on web and mobile. EduSuite Meetings sits inside the same platform as your school management system, so each meeting is tied to the right student, teacher and record.
It covers the meetings that happen between PTM days — a parent asking to discuss English essays, a family called in about attendance, a teacher meeting a student, or a coordinator meeting the Grade 7 staff — each with a clear status from first request to signed-off summary. Your school-wide PTM day runs separately in the EduSuite PTM module.
From the parent app, a parent chooses which child the meeting is about, picks a teacher from that child’s list — class teacher, subject teachers, coordinator or principal — writes the purpose and adds agenda points. They also choose how to meet: in person, by phone or online.
If the teacher has published office hours, the parent sees real free slots and books one instantly, with the room shown. If not, the parent proposes up to three times, and EduSuite checks each one against the teacher’s timetable, showing whether the teacher is free before the request is even sent.
Teachers set their office hours once: slot length, who can book, how far ahead, how much notice is needed, and where. They click free cells on a weekly grid that already shows their lessons, and holidays or events that block teaching are skipped automatically. It is parent teacher appointment booking that works with the timetable instead of against it.
Each time is checked against the teacher’s timetable before the request goes out.
Instant booking of a free slot, with duration and room shown to the parent.
Parents choose how they meet — ideal for working fathers and mothers.
When something needs a conversation — repeated missing homework, a behaviour incident, a drop in marks — the teacher calls the family in directly from EduSuite. The concern or incident is attached to the agenda, so the parent knows exactly what the meeting is about and the teacher walks in with the record, not a memory.
Teachers can also set up a meeting with a student, or with a parent and student together. Every meeting carries agenda points, files and linked records. When a parent proposes times, the teacher sees each one marked free or busy and accepts with one click, suggests other times, or declines. Confirmed meetings can be rescheduled or cancelled, and everyone involved is informed.
The same module runs staff meetings and group meetings. Invite up to 30 colleagues, set the purpose, add points such as mid-term results or the final-term exam timetable, choose the room and send the invitation. Every meeting is added to the timetable automatically, and reminders go out one day and one hour before.
Bring the student’s record straight onto the meeting agenda.
Up to 30 participants, with agenda points and a confirmed room.
One day and one hour before — fewer no-shows, no follow-up calls.
After the meeting, the teacher records the outcome: held, the family didn’t come, or the meeting didn’t happen. Notes stay staff-only by default. With one switch, the teacher sends the family a summary of the discussion and the agreed actions — who will do what, and by when.
The parent reads the summary on their phone and taps “I’ve read this summary”. That acknowledgement is recorded with a timestamp, so there is never a question later of whether the family was told. Agreed actions — a weekly practice test at school, twenty minutes of Maths at home each evening, a review together in two weeks — stay visible to both sides.
Anything that needs following up is raised from the meeting as its own concern or incident, so it is tracked, reviewed and closed with the family instead of disappearing into a notebook. This is the difference between a parent teacher communication app that sends messages and one that creates accountability.
Held, no-show or didn’t happen — with staff-only notes.
Each action has an owner — school, parent or both — and a date.
A timestamped record that the family read the summary.
Principals and coordinators switch from My meetings to All meetings to see every meeting on campus — who is hosting, who it is with, which student it concerns, and its current status. Counters show exactly what needs attention: meetings still waiting for a time, upcoming meetings, no-shows, and summaries parents haven’t acknowledged.
Filter by kind — called in, parent request or PTM — by date range from today to the whole session, or search by reference, purpose, people or place. Every meeting has its own reference number and a timeline of who asked, who accepted and who recorded the outcome, giving management a complete audit trail of school–family communication.
EduSuite Meetings covers the full meeting workflow — request, scheduling, agenda, reminders, notes, summary and follow-up — for parents, students and staff.
Parents choose the child, the teacher, the purpose and the agenda from the mobile app.
Weekly bookable slots with length, notice period, booking window and location.
Proposed times are checked against lessons and shown as free or busy.
Call a family in from a concern or incident, with the record on the agenda.
Each meeting records how it happens — a room, a phone call or an online session.
Invite up to 30 colleagues with agenda points and a confirmed room.
Agenda points, linked concerns and incidents, and attached documents.
Agreed actions with owners and dates, read-confirmed by the parent.
Reminders one day and one hour before every confirmed meeting.
Generic booking tools and calendar links don’t know which teacher teaches which child, when a teacher is in class, or what happened with a student last week. EduSuite does. The teacher list a parent sees comes from the child’s own classes in the student management system; free and busy times come from the timetable; and holidays come from the academic calendar.
Concerns, incidents and conduct records flow onto meeting agendas, and follow-ups flow back into the student’s record. Meetings booked during a PTM appear here too, alongside the school’s other meetings. Teachers, parents and management use one login across the school ERP, the LMS and the parent app — so meetings are part of how the school runs, not another app to manage.

A school meeting management system lets a school manage every meeting with parents, students and staff in one place — requests, scheduling, agendas, reminders, notes and follow-ups. EduSuite Meetings does this on web and mobile, connected to your student records, timetable and conduct records.

Meetings handles one-to-one and group meetings throughout the year — parent requests, office hours, called-in meetings and staff meetings. The EduSuite PTM module runs the school-wide parent teacher meeting day itself: slot booking by class, on-campus check-in, the family queue and a combined summary from every subject teacher.
After the meeting, the teacher records the outcome and notes. With one switch, a summary and the agreed actions are sent to the parent’s phone, and the parent’s “I’ve read this summary” acknowledgement is recorded with a timestamp.
Yes. Management can view all meetings on campus with counters for meetings waiting for a time, upcoming meetings, no-shows and unacknowledged summaries, and filter by kind, date range, host, parent or student.
Yes. Meetings is a module of EduSuite school ERP, so it shares students, parents, staff, timetable and conduct records with the rest of the system — no separate app, contact list or login.
