EduSuite Broadcast

School Communication App for Parents, Students and Staff

Send one announcement and it reaches every parent, student and teacher it’s meant for: in the app feed, on the notification bell, and as a notification on their phone and browser. EduSuite Broadcast is a school communication app that targets the right classes, tells you who read the message, and doesn’t wake parents up at midnight.

Why Schools Are Moving Off WhatsApp Groups and SMS

Ask any school office in Pakistan how they reach parents and you’ll hear the same answer: a WhatsApp group for each class, an SMS package for urgent things, and a note in the diary for the rest. It works until it doesn’t. The date sheet gets buried under “Ji, noted” replies. Parents of last year’s students are still in the group. Teachers’ personal numbers are on display. Every SMS costs money, and none of these tell you whether a parent actually read the message.

A school notification system replaces all of that with one place to send from. In EduSuite, the office or a teacher writes the announcement once, picks who it’s for, and sends. The message is posted to the school’s own Campus Feed, appears on each person’s notification bell and dashboard, pops up live if they have EduSuite open, and arrives as a notification on their phone or browser if they don’t.

Nobody sees anyone else’s number, nobody can reply-all, and the post stays in the feed for the families it was sent to, so a parent who missed the notification can still find it next week. App and browser notifications have no per-message charge, so sending the date sheet to 1,200 parents costs the same as sending it to one.

  • One announcement delivered to feed, bell, dashboard, phone and browser
  • No WhatsApp groups to manage and no phone numbers on display
  • Rich posts with formatting, photos and PDF attachments
  • Read receipts for every person the message was sent to
  • No per-message charges for app and browser notifications

Send to Grade 7 Blue Parents, Not the Whole School

Most messages are for some people, not everyone. A trip consent letter is for Grade 4. A change in the van route is for twelve families. A staff meeting notice is for the science department. In EduSuite you choose the audience the same way you think about it: a whole class, particular sections, named students or parents, one or more departments, all staff, or the whole school.

Then pick who in that group should hear it: students, parents, or both. Parents are found through their children, so “parents of Grade 7 Blue and Green” means exactly the 62 families with a child in those two sections this session. A student admitted this morning is included automatically, and families who left last year are not.

Staff communication works the same way. Send the duty roster to all teachers, the invigilation list to one department, or a note about salary slips to a few named employees. Staff-only posts sit in the same feed as everything else, and parents never see them.

Brothers and sisters are handled properly too. A father with two children in the selected sections gets one notification on his phone, not two, while the school still has a separate receipt for each child. That small detail is the difference between a parent communication app parents trust and one they mute.

Fee Vouchers, Results and Date Sheets Announce Themselves

Much of what a school sends is already in EduSuite: fee vouchers, result cards, date sheets, gate passes, homework, documents. So the modules that create them also announce them. When the accounts office generates October fee vouchers, every family gets a post about their own child’s voucher, with the amount, the due date and a button that opens the voucher. When results are published, parents get a button to the result card. When a date sheet is ready, the classes sitting the exam are told.

No one in the office has to remember to send a message afterwards, and no one has to copy a voucher number into a text. Every alert opens the same post in the Campus Feed, and the post’s button opens the actual document, so a parent is two taps away from the voucher they need to pay.

When an announcement needs a file that EduSuite didn’t create, such as a circular from the board or photos from sports day, attach it to the post. Photos show in the feed, PDFs open inside the app, and the phone notification carries a short line of its own so it reads properly on a lock screen.

If the vouchers are generated a second time to fix a mistake, or someone presses Send twice, families are not notified again. EduSuite recognises that the same voucher, result or date sheet has already been announced and skips the repeat, which saves the school from a wave of confused phone calls.

Know Who Read It Before the Parent Says “Nobody Told Us”

Every announcement keeps a receipt for each person it was sent to. The office can see how many parents opened the trip consent notice, which ones haven’t, and which class is lagging behind, then send a reminder to only those who haven’t opened it. There’s no need to resend the whole message to everyone.

Each send is logged: who posted it, when, to which classes or departments, and how many people it reached. If a parent says they were never told about the early closing on Friday, the office can open the record and see the exact time it was delivered to that family and whether it was opened.

The same record helps the principal see how well the school communicates. If half of Grade 2 parents never open anything, that’s worth a call to make sure they’ve installed the app, and it’s much easier to spot here than in a WhatsApp group.

Quiet Hours & Emergency Alerts

Messages Sent at Night Wait Until Morning

Teachers often finish their work late. A fee reminder written at 10 pm shouldn’t buzz a parent’s phone at 10 pm. EduSuite holds phone and browser notifications during quiet hours, from 9 pm to 7 am by default, and delivers them in the morning. The post itself appears in the feed and on the bell straight away, so anyone who opens the app still sees it.

Real emergencies are different. If the school has to close because of heavy rain, a security alert or a sudden holiday announced late at night, the office can mark the announcement as urgent and it goes out immediately, quiet hours or not. This is what an emergency notification system for schools needs to do: stay quiet most of the time and get through when it matters.

Chat messages are not held, because a parent replying to a teacher expects the conversation to keep going. Only announcements wait.

Broadcast + School ERP in One

Messages That Already Know Your Classes and Families

Bulk SMS services and WhatsApp need a list of numbers that someone keeps up to date by hand. EduSuite Broadcast doesn’t need a list. It is part of the EduSuite school ERP, so it already knows which students are in which section this session, who their guardians are from the student management system, and which employees belong to which department.

Every other module uses the same channel. The Documents module announces date sheets and asks parents for papers. Meetings sends invitations and reminders. Conduct tells parents about rewards and incidents. Parents get everything in one app and one feed, instead of a different group for every purpose.

  • Audiences built from live enrolment and HR records
  • Fee, exams, documents, meetings and conduct use the same feed
  • One app for parents instead of many WhatsApp groups
  • One login for office, teachers, parents and students

FAQs

FAQs About the School Communication App

What is a school communication app?

It is an app that lets a school send announcements to parents, students and staff and see who read them. EduSuite Broadcast posts each announcement to the school’s Campus Feed and notifies the chosen audience on the bell, on their phone and in their browser.

How is this better than class WhatsApp groups?

Parents don’t see each other’s numbers, messages aren’t buried under replies, families who left the school stop receiving messages automatically, and the school can see who opened each announcement. Everything stays in one app with the rest of the child’s school information.

Does it cost money to send notifications, like SMS?

App and browser notifications have no per-message charge, so you can send to the whole school as often as you need. This is one reason many schools use it alongside, or instead of, a bulk SMS package.

Can we send a message to one class or one section only?

Yes. You can choose a whole class, particular sections, named students or parents, one or more departments, all staff or the whole school, and decide whether students, parents or both should be notified.

Do parents get notified about fee vouchers and results automatically?

Yes. When fee vouchers, result cards or date sheets are published in EduSuite, the right families are notified automatically, each with a button that opens their own child’s document.

Can we see which parents have read a message?

Yes. Every announcement keeps a read receipt for each recipient. You can see who opened it, which classes are behind, and send a reminder only to those who haven’t opened it.

Will parents get notifications late at night?

No. Phone and browser alerts are held during quiet hours, 9 pm to 7 am by default, and delivered in the morning. Urgent announcements such as a school closure can be sent immediately.

Can we send announcements to teachers and staff only?

Yes. Choose all staff, one or more departments, or named employees. Staff-only posts appear in the same Campus Feed and on the bell for staff, and are never shown to parents or students.

Do parents need to install an app?

Phone notifications come through the EduSuite app. Parents who use a computer can also allow browser notifications. Either way, every announcement waits in the Campus Feed the next time they sign in.

What if a parent has more than one child in the school?

They receive one notification for an announcement, even if several of their children are in the selected classes. The school still keeps a separate receipt for each child.
